Communication and promotion are the keys to a successful photo process.
Event participants need to be aware that the opportunity to purchase photos will be provided to them. To accomplish this we recommend listing it on any handouts/event materials that are provided, in any e-mails that are distributed prior to the event, on websites and any other advertising outlets. Once the athletes are aware that photos will be taken, they’ll be looking for notifications of when/how they can be purchased.
E-mail has become the preferred and best vehicle for sending these notifications. If a list of participant e-mail addresses can be gotten ahead of time (perhaps on a registration form), or e-mail addresses for team coaches…, then direct communication is possible. Once the photos are uploaded and ready for viewing, an e-mail will be sent to this distribution list informing them and providing instructions. Additionally, our staff will gather e-mail addresses on site and have notification sign-up sheets.
As a final resort, information cards can be handed out on-site which also provide all necessary information.
Finally, our staff need to know schedules for the day(s) so they can be sure to achieve total coverage. Game/event schedules should be provided to us in advance, along with any field layouts/maps and recommendations for where to set-up displays and photographer access/limitations.
